Managing multiple instances of CIOPulse

If your organisation has multiple instances of CIOPulse (e.g. one for IT, one for HR and one for Facilities) it is possible for these to be grouped together so that Master and Supporting Administrators can manage more than one instance with a single logon.

If you have multiple instances and you'd like them grouped together for administration purposes, please let us know at [email protected] so that we can set up the grouping for you.

Grouping multiple instances together only simplifies administration activities. Displays, reports and dashboards remain specific to each instance. The data for each instance is still segregated such that the silo-ed nature of each instance within the group is preserved.

Each group of instances can have only one Master Administrator.  The Master Administrator has the authority to:

  • Manage any instance within the group.
  • Define which Supporting Administrators are able to manage each instance within the group.

When a Master Administrator logs on to the Portal, they will be able to switch between any of the group's instances.

When a Supporting Administrator logs on to the Portal, they will be able to switch between any of the group's instances that they have been authorised to (by the Master Administrator).

Switching between instances

Any administrator who is authorised to access more than one instance of CIOPulse, may switch between instances after logging on to the Portal.

Any work that is then done (e.g. changing Preferences, adding Support Groups or editing Support Lead mobile phone numbers) is then done to the currently selected instance.

To switch instances:

  1. Select the instance from the 'Instance to administer' drop-down box in the 'Set Instance' section of the Main Menu.
  2. Click the 'Set Instance' button.
  3. Verify that the Instance has been changed by confirming the correct instance name is now displayed.

 

Authorising Supporting Administrators to instances

Master Administrators are automatically authorised to manage all instances within a group.

Supporting Administrators are authorised to one or more instances in the group by the Master Administrator. This is done using the 'Manage Administrator Rights' function which is described here.
