1.11 Share information URLs with your colleagues

The email generated by the send-my-links function includes an HTML attachment. The attachment contains CIOPulse bookmarks that can be imported into a browser. This attachment may cause the email to be caught by spam filters. Please check the spam folder if the email seems to have not arrived.

The send-my-links and launchpad functions can currently only be used for sharing URLs for transactional survey information (not URLs for the Relationship Survey or CCS modules).

If you have Encoded URLs Only set to 'Yes' in your Preferences, all URLs must be encoded in order to access information. This includes the URLS for the launchpad and send-my-links functions.

Users of CIOPulse need URLs to access the information they need. They usually save their favourite URLs as browser bookmarks. But they need to be provided with the relevant URLs first.

There are three ways to provide users with the URLs they need:

  • Manually. The administrator works out the URLs needed by each Support Lead and distributes them. Or, the administrator directs Support Leads to the relevant articles in this manual and Support Leads work out their own URLs.
  • By using the send-my-links function. This emails a user with a starter set of URLs, together with an importable list of bookmarks.
  • By using the launchpad function. This displays a starter set of URLs to the currently logged-on user.

This article describes the send-my-links and launchpad functions.

The URLs shared with users depends on their Role (e.g Administrator vs Support Lead) and your security settings in the Portal.

User Roles

Here is a list of all possible roles in CIOPulse:

  • Administrator (Master or Supporting).
  • Manager (a Monthly Report Recipient or Additional Send-to Recipient).
  • Support Lead.
  • Also Alert.
  • Contact (a person who is in the list of Contacts but is not assigned to any Support Group, as either a Support Lead or an Also Alert).

A user can hold multiple roles (e.g. a Manager and a Support Lead). When that is the case, the user is considered to hold the Role that is highest in the list above (e.g. Manager > Support Lead).

Product Comms Recipients are people who (in addition to the Administrator(s)) receive product announcements. Anyone who is a Product Comms Recipient, and holds no other role, is not considered an authorised user of CIOPulse.

Security Settings

In addition to a user's Role, these Security Settings (defined in your Portal Preferences), affect the URLs that are shared with send-my-links or launchpad.

  1. User Login Type - launchpad is only available when 'User Login Type' is 'Single Sign-On' or 'Email Address'. This is because we need to know who is accessing CIOPulse so that we can display their personalised URLs. send-my-links (which emails a list of URLs) can be used regardless of User Login Type because an email address must be provided in the URL.
  2. Restrict Access by Role - When this is set to 'No', all Users (regardless of Role) will be given URLs for accessing organisational-level information (in addition to any Support Group information they're authorised to). When this is set to 'Yes', Support Leads (and, optionally, Also Alerts - see (3) below) will only be able to access information for their Support Group(s).
  3. Also Alerts for SR Only - When this is set to 'No', Also Alerts will have access to all information for their Support Group(s). When this is set to 'Yes', Also Alerts will not be able to access information for their Support Group(s).
  4. Encoded URLs Only - When this is set to 'Yes', all URLs shared by send-my-links or launchpad will be encoded.

When Encoded URLs Only is set to 'Yes', even the send-my-links and launchpad URLs have to be encoded in order to use them.

The URLs emailed to a user with send-my-links are the exact same URLs that are displayed to that same user with the launchpad function. These URLs are described in the table at the end of this article.

The send-my-links function makes it easy to distribute transactional survey URLs to the people that need them (e.g. your Support Leads).

This function will send an email to any Administrator, Manager, Support Lead, Also Alert or Contact. The email includes a list of transactional survey hyperlinks relevant to the selected person. The email also includes an HTML attachment that can be imported into a browser using the bookmark import function.

CIOPulse's information URLs accept many parameters that control the information that is shared. The result is a huge number of URL combinations, especially for the Survey Responses report. The hyperlinks included in the email are a core set of these URLs, not an exhaustive list.

Forming the send-my-links URL

Use this URL to send an email containing transactional survey hyperlinks to the email address specified:

https://app.cio-pulse.com/send-my-links?cpc={your Client Portal Code}&email={email address of person}

You must use this parameter, prefixing the parameter name with a &:

  • email Specify the email address of the person you wish to send the list of URLs to.

As an administrator, you can also use this optional parameter, prefixing it with a &:

  • debug=y Display the list of URLs on the screen instead of emailing them. You must be logged in to the Portal on another tab of your browser to use this parameter.

The function can only be used to send an email to the one person given in the email parameter. It can't be used to send a list of hyperlinks to all Support Leads at once.

When going live with transactional surveys, the easiest way to distribute the transactional information URLs is to send a group email to all your Support Leads containing the URL for this function. Ask them to specify their own email address in the email parameter.

Launchpad

The launchpad function enables a logged-on user (via Single Sign-On or Email Address) to see a list of their information URLs on the screen.

CIOPulse's information URLs accept many parameters that control the information that is shared. The result is a huge number of URL combinations, especially for the Survey Responses report. The URLs accessible via the buttons on the launchpad screen are a core set of these URLs, not an exhaustive list.

Forming the launchpad URL

Users can use this URL to access the launchpad page:

https://app.cio-pulse.com/launchpad?cpc={your Client Portal Code}

If the user is not already logged-on, they will be prompted to log-on before the launchpad is displayed.

If you do not have Single Sign-On or Email Address security turned on, this function will not be available. The user will see a "Oops! We can't action your request" error.

What URLs are shared by send-my-links and launchpad?

The table below summarises the URLs shared via the send-my-links and launchpad functions.

Three things impact the list of shared URLs:

  1. The User's Role. For the purpose of the table below, Administrators and Managers have the same access rights. The word "Managers" will be used for both.
  2. The Also Alerts for SR Only security setting (Yes/No). When set to 'No' this gives Also Alerts the same access rights as the Support Leads for their Support Groups. In the table below "Support Leads" includes Also Alerts where Also Alerts for SR Only = No.
  3. The Restrict Access by Role security setting (Yes/No). When set to 'No', Support Leads, Also Alerts and Contacts will have access to top-level URLs (e.g. access to all surveys from all Support Groups).  Administrators and Managers always have access to these top-level URLs.

In the table below, "Global" refers to the top-level URL (e.g to see the NPS for the whole organisation, or to access all surveys for all Support Groups).

Text marked in blue in the right column (Restrict Access by Role = No) highlights the differences from the left column (Restrict Access Code by Role = Yes).

The interactive dashboards for Support Leads are pre-filtered to only display the information for their Teams and Departments. This is done by specifying a list of Support Group Codes in the URL. Due to limitations in the maximum length of URLs allowable in browsers, hyperlinks for Support Leads who have 20 or more Teams, or 20 or more Departments, will not be included in the email.
